We are seeking a junior Sourcing Associate to support our office in Moscow (100 people).

Responsibilities:
Vendor and supplier management:
Determine the necessary volume of material and technical resources according to the employer's needs; identify the most effective and high-quality indicators for required goods and services.
Work with suppliers: monitor the quality of goods and services, seek new suppliers as needed, organize the procurement process for hardware and accessories, stationery, office supplies, and printed products, participate in tenders and contract negotiations. Negotiate with suppliers to resolve contract violations.
Coordinate with telecommunications service providers: ensure timely payment of bills, reconcile billing details, and secure necessary approvals in cases of exceeding the established communication service limits, in accordance with internal policies and procedures. Manage tariffs for international business trips, open/close new lines for newcomers, re-register phone numbers, and manage corporate SIM cards and mobile devices.
Logistics coordination:
Coordinate with business trips service providers: Assist staff with bookings and requests in the local systems.
Coordinate with logistics companies, postal services, brokers, and customs on matters related to international shipping, correspondence delivery, import, and customs clearance.
Car fleet maintenance: annual service for 6 cars, seasonal tire service, and insurance.
Documents and systems management:
Organize timely payment of supplier invoices, including obtaining necessary confirmations according to the internal requirements and procedures.
Create purchase orders on the platform, oversee document exchanges with vendors, and set up new vendor profiles in the Ariba system.
Maintain control of fixed assets in the system: recording, receipt for depreciation, write-off. Bear material responsibility.
Administer the local information systems used for procurement and travel organization. Provide user support: create and maintain user profiles, independently manage user requests as needed, such as during weekends or outside of regular business hours.
Stock and office supplies management:
Manage and maintain stock in the office stock room, organize and accept office deliveries, and distribute purchased goods within the office and stock room.
Organize the maintenance of office equipment and machinery (monthly inspections, functionality checks, calling service center specialists, purchasing necessary spare parts, and disposal).
Manage the waste disposal service by collecting materials for disposal, coordinating their pickup, and aligning the disposal list with the accounting team.
Other:
Organize corporate gifts for stakeholders: compiling stakeholder lists, securing necessary budget approvals, designing and finalizing layouts for postcards and calendars, exploring and developing gift ideas.
If necessary, arrange an auction for the sale of material assets: collect information on its actual value, prepare documents, that prove actual value, arrange an auction
Required Skills and Knowledge:
Similar work experience at least 2 years
Fluent English and Russian
Strong negotiation and communication skills.
Experience in contract management and procurement processes.
Understanding of financial procedures related to invoices and asset management.
Attention to detail and organizational skills for maintaining accurate records.
Ability to work independently and manage time effectively.
Ability to work collaboratively with various departments and external partners.
Customer service orientation for assisting staff and managing requests.
